Think of NetSuite year-end in as your annual opportunity to tighten the system, clean up data, and set your finance team up for a cleaner, faster Q1. If you have a NetSuite accountant this is something you want them executing each year.
Too often, companies rush to get through December with a “we’ll fix it next year” attitude. Then January arrives with the same broken reports and dashboard clutter.
Let’s not do that again.
Here’s a practical NetSuite Year-End Checklist what to review, what to fix, and a few bonus moves that make January feel less like a hangover and more like a fresh start.
1). Review Open POs and Close the Stale Ones
If you haven’t looked at open purchase orders in a while, now’s the time. POs that should’ve been received, canceled, or closed can distort your reporting, inflate committed spend, and confuse your purchasing team.
Check for:
POs older than 90 days with no receipts.
Why it matters:
They overstate liabilities and make your AP aging look messy.
Quick fix:
Bulk close them or create a Saved Search that flags old POs automatically next quarter.
2). Reconcile Subledgers: Inventory, AP, and AR
This is the step that separates the accountants from the NetSuite amateurs.
Run your subsidiary ledgers and make sure each one ties cleanly to the general ledger. If it doesn’t, dig in before January. These mismatches compound fast and will make your auditors (and your CFO) very unhappy.
Inventory:
Check for items with negative quantities or pending adjustments.
Accounts Payable:
Ensure vendor balances match the AP control account.
Accounts Receivable
Reconcile customer balances to the AR control account.
If you’re spending hours each month reconciling, you likely have structural issues in how data flows which is exactly what year-end reviews are for (and automation!)
3). Lock Prior Periods + Set Closing Dates
This is NetSuite hygiene 101, but you’d be surprised how many companies skip it.
Once November or December are complete, lock those periods. You’ll prevent accidental postings that throw off prior-month financials.
Use Accounting Periods > Manage Accounting Periods to confirm everything up to date is closed or locked.
Set a closing date with password protection so only admins can reopen periods.
That’s what you call peace of mind in a NetSuite year-end checklist..
4). Confirm Fixed Asset Entries and Depreciation Runs
Your fixed asset schedule should be fully reconciled to the balance sheet before year-end.
Check for missing depreciation runs in December.
Review all capital purchases and confirm they’ve been added to the asset register.
If you’re using a spreadsheet outside NetSuite for fixed assets, consider integrating or migrating to the Fixed Asset Management module before next year.
Don’t let “we’ll reconcile it later” turn into “why is our depreciation expense off by six figures?”
5). Hunt Down Common Issues We See Every Year
If your financials “just don’t look right,” here’s why. We see these every December across manufacturing, wholesale, and eCommerce clients:
Duplicate vendors
Merge them to prevent double payments.
Misclassified expenses
Clean up anything sitting in “Miscellaneous” or “Other.”
Unresolved inventory adjustments
Make sure adjustments were approved and posted to the right accounts.
Deferred revenue not tied to contracts
Check your revenue recognition schedules and align them to actual contract terms.
Landed costs missing from inventory
Review PO receipts. Unassigned freight and duty distort cost of goods sold.
Labor costs missing from BOMs
If manufacturing costs look too low, you may have skipped applying labor rates to assemblies.
Think of this as your margin compression protection.

Bonus Moves to add to your NetSuite Year-End Checklist
Once the financial mechanics are squared away, take a few strategic passes through your NetSuite environment for a clean start to Q1:
Refresh Dashboards for Q1
Don’t carry outdated KPIs or irrelevant portlets into the new year. Build dashboards that answer next quarter’s biggest questions: cash flow visibility, sales pipeline conversion, and expense trends.
Archive Saved Searches
If your team has dozens of old saved searches clogging menus, now’s the time to archive or delete. It improves performance and sanity.
Run a User Access Audit
Inactive users and outdated roles create security risks. Remove users who’ve left, review role permissions, and tighten access to sensitive financial data.
It’s a small step with big risk reduction plus it makes your auditors happy.
Think of NetSuite year-end in as your annual opportunity to tighten the system, clean up data, and set your finance team up for a cleaner, faster Q1
