NetSuite Month-End Close Guide

A guide to NetSuite month-end close: how it should run

By the time the October P&L lands on the 16th, your buyer has already committed the Q1 inventory order. That order got placed on September numbers, which closed on the 15th.

The result?

Your inventory decisions are running about six weeks behind your actual business.

The cost of a slow close lands on the inventory buy and your ad budget long before it even affects accounting’s bottom line.

This is the part that gets missed when finance leaders start shopping for outsourced NetSuite accounting services. They price the engagement against the salary of the staff accountant they were going to hire. The better comparison is against the margin on a season of product they bought using two-month-old data.

Long month-end close reasons:

There are a lot of moving parts to month-end close:

Payment processors settle on their own calendars. Shopify Payments, Stripe, PayPal, and Amazon each report gross sales, fees, chargebacks and reserves differently, and the deposit that hits your bank is a net number that ties to none of them without work.

Inventory sits in a warehouse that isn’t yours. Your 3PL’s on-hand count and your NetSuite item count disagree every month. Somebody has to figure out whether that’s shrink, a receiving lag, or in-transit units nobody flagged.

Returns arrive after the period they belong to. Close the month without an RMA accrual built on your actual trailing return rate by channel and your gross margin is fiction.

Ad platforms bill on their own cycle. Meta and Google spend for the last week of the month frequently posts in the first week of the next one. Miss the accrual and your contribution margin by channel isn’t reflective of monthly performance.

Slow Month-End Close: Red Flags Something Isn’t Working

The close is slow because of how NetSuite was set up. Here are a few signs your month-end close in NetSuite isn’t working:

  1. Deposits posting to an undeposited funds account that sits unreconciled.
  2. Marketplace fees netted inside a revenue account, so gross margin never means what the P&L says it means.
  3. Item receipts that never got matched to bills, sitting in an accrual account that grows every month and gets written off at year end.
  4. Landed cost that was never configured, so freight and duty live in an operating expense line and product-level margin is nothing but a guess.

Pro Tip: An accountant will run your NetSuite implementation for the financial statements. So the thing you’re actually buying when you engage outsourced NetSuite accounting services is not simply hours. It’s a standard operating procedure (SOP) month-end close. If an implementer quotes you headcount instead of a close calendar, they’re selling labor.

Below is an example of what a well-run NetSuite accounting for ecommerce engagement should follow. Note that a third of the work happens before the month even ends.

  • Publish the close calendar with a named owner for every task. Not a role. A name.
  • Confirm cutoff with the 3PL for both receipts and shipments, in writing.
  • Clear the item receipt to bill variance queue so it doesn’t get inherited.
  • Review unbilled sales orders and open drop-ship POs.

  • Pull settlement reports from every processor and marketplace. Match gross sales, fees, refunds, chargebacks, and reserves to NetSuite deposits.
  • Post processor and marketplace fees to their own expense accounts. Never net them into revenue.
  • Complete bank reconciliations.

  • Reconcile 3PL on-hand to NetSuite item counts by SKU. Classify variances as shrink, timing, or in-transit. Investigate anything over your materiality threshold.
  • Apply landed cost to receipts so freight and duty land in inventory value.
  • Review COGS by channel for anything that moved more than expected.

  • Book the returns accrual using trailing return rates by channel and category, not a blended company average.
  • Book advertising accruals for spend that hasn’t invoiced.
  • Confirm Nexus thresholds, file where due, accrue the rest.
  • Recognize deferred revenue on subscriptions, preorders, and gift cards.

For a mid-market ecommerce company with multi-channel settlements and a 3PL, a 5-day month-end close is an achievable target with the right configuration behind it, and it’s the number to hold a provider to.

What to include in your outsourced accounting agreement:

Most outsourced accounting relationships go bad in the same place: nobody wrote down what “close” means or when it’s done. Get these in the scope document.

  1. A committed close day. Day 5, day 7, day 10. Pick one and put it in the agreement
  2. A responsibility matrix. Which tasks belong to your provider, which belong to your internal AP and AR staff, and which need your approval. Ambiguity here is what turns a 5-day close into an 11-day close.
  3. Reconciliation evidence stored in NetSuite. Attached to the period, not sitting in someone’s Dropbox. When a lender or a buyer asks for support two years from now, you need to find it without calling anyone.
  4. Written variance commentary. A paragraph that tells you why gross margin moved 180 basis points.

When you should get outsourced accounting

Keep it in-house if you have a controller who understands both accounting and NetSuite configuration, and who has the bandwidth to redesign the close. That person exists. They’re just expensive and hard to find.

The Bureau of Labor Statistics reports a median annual wage of $81,680 for accountants and auditors as of May 2024, with roughly 124,200 openings projected each year through 2034. A controller with real ERP depth sits well above that median, and the can take months.

Go hybrid if your transaction processing is fine but nobody owns the design. Keep AP and AR internal, bring in outsourced NetSuite accounting services at the controller level to rebuild the close and run it.

Outsource the whole finance function if you’re closing in 10+ days, your channel margins aren’t trustworthy, and you’re heading toward a raise, a lender conversation or a sale. Weak reporting is the thing diligence finds first, and it costs you at the multiple.

Don’t outsource if what you actually need is a fractional CFO. If your close is clean at day 5 and your problem is that nobody can model the next twelve months, that’s a different engagement. Buying close support won’t fix it.

Reports at channel-level vs. “consolidated”

A consolidated P&L tells you that revenue grew. It doesn’t explain the growth.

McKinsey’s research on CPG ecommerce found that online channels carry meaningfully higher on-site advertising and logistics costs than brick-and-mortar, and that Amazon tends to deliver the lowest margins among online channels. That research is a few years old but hte point remains. If your reporting can’t separate Amazon from your own site from wholesale, you can’t see which growth is funding the business and which is consuming it.

A board package for an ecommerce company in this range should carry contribution margin by channel after fees, fulfillment, and returns; inventory turns and weeks of supply by SKU family; cash conversion cycle; and a rolling thirteen-week cash forecast.

Last piece of advice: before you price out an outsourced engagement, time your own close. If it’s more than 10 days, the fix lives in your SOPs.
